Lawyers are required to know the law and do a lot of research in order to be updated with the current laws and regulations. Lawyers may specialize in one or two areas of expertise, for instance, criminal lawyers represent their clients when they are charged with crimes while corporate lawyers handle legal matters in businesses.
Legal secretaries support lawyers in carrying out the clerical and administrative functions. The clerical tasks involve drafting the correspondence, file maintenance, answering calls and arrange meetings for the lawyer. In addition to these tasks, the legal secretary sends letters to clients notifying them of court date and manage the clients list. Most legal secretaries will also prepare the firm’s financial report and track hours spent by the lawyer on each case to help in the billing process.
Paralegals acts as the lawyer’s right hand man and they offer support whenever needed. They offer administrative assistance like the legal secretaries but their position entails more responsibility. They are tasked with attending trials to give support to the lawyers and offer legal advice on behalf of the lawyers. Paralegal also organize the lawyers documents so that they are easily located. They manage this information using a computer software and arrange them according to the date, keywords or the case number.
There are different computer occupations in the law firm including an IT director who has the responsibility of managing the computer systems. Other IT positions are occupied by junior employees who oversee the daily operations of the computer system. Proper management of the computer system in a law firm is important because lawyers store their important documents there. There is also the database administrator who creates the data software system in order to ensure security of vital information.
Record clerks categorize, track and maintain the case files of the lawyers. They also pack boxes, label them and arrange for their delivery.
Lastly, we have the bookkeepers who maintain the financial records of a law firm. Their day-to-day work involves collecting payments, send invoices, keep track of any overdue payment and handle the payroll of the law firm.
